Preparing to Send Your Letter

Tips for preparing and sending your letter

A card, a brief note, or a longer letter can help you share memories of your loved one. There is no required length or perfect wording. Write when it feels right for you.

Our Family Services team can help with questions about your message and guide you through the correspondence process.

What to Include

You might share:

  • Your loved one’s first name only

  • A favorite memory or family vacation

  • Their hobbies, interests, or occupation

  • Hobbies or interests they enjoyed

  • Qualities that made them special

  • Do not include hospital names or any personal contact details

Share only what you feel comfortable sharing. If you include religious sentiments, please remember that the recipient may have different beliefs.

Protecting Your Privacy

Do not include:

  • Last names

  • Mailing addresses

  • Phone numbers or email addresses

  • Hospital names

  • Other details that could identify or locate you or your family

Keep the identifying information Family Services needs on a separate sheet, not in the letter intended for the recipient.

Writing to More Than One Recipient

You may write a separate letter for each recipient or prepare one letter to be shared with multiple recipients. Family Services can make copies and distribute them for you.
